Safeguarding Policy

Last updated 18 September 2026

Seed Scholars Academy provides small-group tutoring to students in Years 10 to 13. Because we work with children and young people, keeping them safe is central to how we operate, both online and in any related communication with families.

Our commitment

We are committed to providing a safe, respectful learning environment for every student. This policy sets out how we approach tutor suitability, online conduct, and reporting a concern.

Tutor suitability

Every tutor undergoes an Enhanced DBS (Disclosure and Barring Service) check before they work with students, or has this carried out when they join us if they don't already hold one. Tutors follow lesson plans and teaching structures set by Seed Scholars Academy, and do not work with students outside our scheduled sessions.

How lessons are delivered and supervised

  • All lessons and homework review sessions take place through Google Classroom and Google Meet — never through a tutor's personal accounts, numbers, or social media.
  • Sessions are recorded, which allows a parent or a member of our team to review any session if needed.
  • Groups are capped at four students, so a tutor is never working one-to-one with a student outside a scheduled, recorded group session.
  • All communication with families about a student's progress, billing, or scheduling goes through admin@seedscholars.academy or our main phone/WhatsApp number — not a tutor's personal contact details.

Online conduct

Tutors are expected to communicate with students only about the subject being taught, only within scheduled sessions, and only through the platforms we provide. Any concern about a tutor's conduct is taken seriously and investigated promptly.

Raising a concern

If you have any safeguarding concern about a session, a tutor, or anything related to your child's experience with us, please contact us straightaway at admin@seedscholars.academy or 07466 593150. We will treat every concern seriously, respond promptly, and take appropriate action, which may include reviewing session recordings, contacting the tutor involved, or referring the matter to the appropriate authority.

Reviewing this policy

We review this policy periodically to make sure it reflects how we actually operate. If you have any questions about how we keep students safe, contact us using the details above.
