Privacy Policy

Last updated 18 September 2026

This policy explains what personal data Seed Scholars Academy collects, why we collect it, and what rights you have over it. It applies to our website, our enquiry form, and the tutoring service itself.

Who we are

Seed Scholars Academy is a small-group online tutoring service for GCSE and A-Level students. You can contact us at admin@seedscholars.academy or 07466 593150 about anything in this policy.

What we collect

When you make an enquiry, we collect the parent/guardian's name, the student's name, a phone number, an email address if provided, year group, subjects of interest, and any other details you choose to add. If your child joins a group, we also hold their Google Classroom account details, lesson and homework-review recordings, progress exam results, and billing information processed through our payment providers.

Why we collect it

  • To respond to your enquiry and arrange a call.
  • To deliver tutoring: creating groups, running lessons, reviewing homework, and producing progress reports.
  • To take payment for the service, via GoCardless (recurring monthly billing) or Stripe (one-off payments).
  • To keep appropriate safeguarding and administrative records.

Children's data

Our service is for students who are minors. Personal data about a student is provided to us by their parent or guardian, who is responsible for that student's account with us. We do not market directly to students.

Who we share data with

We share data only where it's needed to run the service: with Google (for Classroom and lesson delivery), GoCardless and Stripe (for payment processing — we never see or store your full card or bank details ourselves), and the tutor assigned to your child's group (only what they need to teach). We do not sell personal data to anyone, and we don't use it for third-party advertising.

How long we keep it

  • Enquiries that don't lead to enrolment — kept for up to 12 months, then deleted.
  • Enrolled students — kept for the duration of their time with us, plus 24 months after they leave, for administrative and safeguarding record-keeping.
  • Billing and financial records — kept for 6 years, as required by UK tax law.

Your rights

Under UK GDPR, you can ask us to: tell you what data we hold about you or your child, correct anything that's inaccurate, delete data we no longer need to keep, restrict or object to certain uses, or provide your data in a portable format. To exercise any of these, email admin@seedscholars.academy. If you're not satisfied with our response, you can complain to the Information Commissioner's Office at ico.org.uk.

Security

We take reasonable technical and organisational steps to keep your data secure, and access is limited to the people who need it to run the service.

Cookies

Our website uses only the essential cookies needed for the site and enquiry form to work properly. We do not use third-party advertising or tracking cookies.

Changes to this policy

We may update this policy from time to time. Continued use of our service after an update means you accept the current version.
